Set Up Email Client - Outlook / Eudora

This document sets out the procedures for setting up email software on your computer for sending and receiving email from your accounts. Email clients covered in this document are:

  • Microsoft Outlook
  • Qualcomm Eudora

Set-up procedures for most email clients are fairly similar - it is the settings you use which are important. If your email client is not listed here, then you will have to experiment until you are able to send and receive email correctly, or change to one of the email clients listed.

You may use any internet connection, including dial-up numbers, ADSL, Cable and so on to send and receive email from your account. To set up your email client to collect your email, follow the instructions below, replacing all instances of yourdomain.com with your own domain name and replacing all instances of you with your name. You must use the SMTP server address provided by your ISP (ie smtp.btinternet.com). If you are not sure what your ISPs SMTP server settings are, you will need to contact your ISP or check your existing SMTP settings in your email client.

Setting up Microsoft Outlook

  1. Open Outlook and select Accounts from the Tools menu. Click the Add button on the right hand side and select Mail.
  2. Enter the following details:
    Display NameYour Real Name
    Email Addressyou@yourdomain.com
    Incoming Mail Server isPOP3
    Incoming Servermail.yourdomain.com
    Outgoing Serversmtp.yourisp.com
    Account Nameyou
    PasswordYour Password
  3. If you have a permanent connection (ie, ADSL), select Connect using my local area network (LAN). If you are using a dial-up modem, select your connection type as Connect using my phone line and select your Modem. (If you don't know your modem, it is probably the default). Click Next. Select Use existing dial-up connection and select your ISP. Click Next.
  4. Click Finish.

Outlook should now be set up and should collect your email.

Setting up Eudora

  1. Open Eudora and select Personalities by clicking the personality tab (two heads) at the left hand side of the window. Right click the area with your mouse and select New.
  2. A pop-up window will appear. Select Create a brand new email account. Click Next.
  3. Enter the following information in the appropriate fields:
    Personality NameAnything
    Your NameYour Real Name
    Email Addressyou@yourdomain.com
    Login Nameyou
    Incoming Servermail.yourdomain.com
    Outgoing Serversmtp.yourisp.com

Your new email account is ready to use and will be included next time you ask Eudora to pick up mail. When Eudora first collects email from your account, you will be prompted for your password.

Troubleshooting

Almost all email problems are caused by users having incorrect settings. This is normally caused by users entering the wrong settings. Please keep your Hosting Setup email safe as this contains details of the actual settings you need for your email.

Incorrect Password Errors
This is the most common problem our users encounter. This does not necessarily mean your password is incorrect - it can also mean that your login name, your email address, or your account name are incorrect. Check all settings carefully.

Cannot Send Email
This problem is almost always caused by an incorrect SMTP server setting. Please note that you must use the SMTP server settings provided by your ISP. For example, if you dial up through BT Internet, you may need to use smtp.btinternet.com. Your SMTP settings will not be smtp.yourdomain.com. If you are unsure what your SMTP settings are, please contact your ISP.

Cannot Download Email
The most common reason for this is incorrect settings, either login name, password and so on. Check all settings very carefully and try again.

Cannot Download Email (single mailbox / intermittent failure)
You may find that your email client suddenly has trouble downloading email from one mailbox when others work fine, even on the same domain. The problem might go away, only to reappear later, maybe on the same mailbox, maybe on a completely different mailbox. It's totally random (and frustrating). This problem may be caused by your anti-virus software. (The only true way to test if your anti-virus software is the cause is to disable it, but please please please don't do this !!). Several users have experienced this problem with versions of McAfee VirusScan distributed in 2004 and certain HTML emails. Most emails (including HTML) will download normally, but some will not.

As a temporary fix, login to your mailbox using webmail and check the emails that are waiting. You may find several emails waiting to be downloaded. Among them may be an HTML email, probably spam. Check and delete any emails you don't want and you should find that your email client works normally again.

As a more permanent fix, contact your anti-virus software supplier. McAfee have 24 hour online chat support. This is a known issue and they will guide you through the process for installing an upgrade to McAfee. This may cure the problem, but if not, call them back.
